Position Summary: This is a program level position requiring general and specific knowledge of office procedures and related activity. The job involves an array of clerical assignments, some highly routine and other requiring problem-solving ability. This position is Non-Exempt.

Duties and Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Provide assistance to the CEP Director, and CEP Specialists
• Establish and maintain office procedures that support the team in performing all phases of the employment services including intake, engagement, assessment, job placement, job coaching and follow along
• Gather required demographic information, ensure that date required for billing is up to date in electronic health record
• Maintain up to date staff caseload charts to provide accurate tracking of caseload size, authorizations and billable services
• Perform monthly billing activities as required for each payer
• Maintain employment service related tracking systems that support monitoring fidelity i.e. job type chart, referral tracking, employer list, Clinical Coordination.
• Perform office tasks, such as answering phones, typing, photocopying, filing, etc. for the Community Employment Program
• Process mail
• Track authorization/purchase orders, quality management activities and required timelines
• Screen all referrals for appropriateness to CEP. Assign to ES for intakes. Complete
• Complete all data entry into Evolv for CEP authorizations, complete authorizations for all phases of CEP in Beacon.
• Track and make sure all job placements, losses, PP, ESS authorizations and billing is complete and on time.
• Answer phones for Montgomery Station while stationed at the front desk area.
• Cover for another administrator when needed.
• Be crossed trained in order to perform routine front desk tasks as needed.
Assertive Engagement and Outreach
• Serve as point of contact for clients, their families/representatives, outside agencies and referrals to respond to inquiries for CEP services
• Support employment team in engagement and outreach activities such as friendly reminders or cards
Job Search, Job Development and Placement
• Maintain client tracking to facilitate review of client outcomes and support fidelity monitoring i.e. time to first employer contact
• Maintain information to support diverse business outreach i.e. business contacts, chamber directory or other similar activities
Integration with Mental Health Treatment
• Maintain caseload lists to monitor that Employment Specialists are part of 1-2 treatment teams.
• Maintain caseload lists to reflect DORS Counselor assignments and DORS Billing
Employment Team
• Maintain weekly meeting minutes; ensure that treatment team minutes document discussion amongst team members of client employment goals with shared decision making.

Qualifications


Education: Possession of high school diploma or GED
Professional Experience: Two years positively referenced work experience
Computer Skills: Microsoft Office proficient, experience with electronic health record preferred

Availability of work schedule: Monday -Friday 8:30-5:00
